Minutes Executive Meeting

 

February 26, 2010

 

This was the first meeting the executive committee held in 2010. The following points were on the agenda for discussion:

 

  1. Review of draft Constitution
  2. New Chairman
  3. Re-structuring of Conservancy
  4. AGM agenda
  5. Litter issues not resolved yet
  6. Nature Youth Outing
  7. Way forward with Green Rebate

 

Decisions taken:

 

  1. Review of draft Constitution: The committee decided the constitution needs to be revised and made more relevant to the workings of the conservancy. Grant offered to review the draft constitution and make any important amendments to it. (ideally Chair/Vice-chair should serve at least a 2year term) The constitution will then be sent out to the membership for approval.
  2. New Chairman: Howard informed the committee he was going to be less available this year and is therefore unable to spend much time on conservancy matters. However, the committee was happy to accommodate him and work within a compromised time schedule. Howard accepted this and will help out when and where he can.
  3. Re-structuring of Conservancy: There are a number of other organizations operating in Rheenendal: Farm watch, FPA, and RRRA. The committee discussed ways to possibly consolidate these various organizations under one main umbrella. This is also to ensure information transparency between all residents. A meeting will be organized for the second week in March with these organizations to discuss this further with their respective committees.
  4. AGM: The AGM has been postponed to a later date in March.
  5. Litter and Municipality: It has been frustrating not coming much further with the issues of road side litter. The committee has had numerous meetings with relevant municipal officials to no avail. Ideally, the municipality provides us with the finances and we will determine the infrastructure: i.e employing someone.
  6. Nature Outing: Howard is unable to make the outing for the 6th of March. The outing has been postponed to a later date in March. Petra will meet with Hynie, Kate (Landmark Foundation) and Mark van Niekerk (FPA) to check on their availability for future outings
  7. Green Rebate: A meeting will be held with Brendan and Mark to clarify roles in furthering green rebate. Tine will speak to Steve to see his availability on a meeting with conservancy membership. It is important to involve membership now so that they are up to date on rebate issues; this will also help to ensure a supportive community necessary for obtaining the green rebate.

 

And some other things that were discussed:

 

  1. As soon as bank account is open members will be expected to pay membership fees and signage donations (R120 membership fee and R150 sign donation)
  2. Main conservancy sign needs to be moved still
  3. Website will SOON be up and running. Tine to take course on how to operate website. Monthly newsletter good to put on there.
